5 time-consuming tasks you can drop

The tasks we've watched wear organizers down - and what we've done about them

When we talk to organizers, the same tasks keep coming up. It isn't the big strategic choices that drain people; it's the constant administrative grind around ticketing, exhibitor lists, floor plans, and coordinating the day of the show itself.

We've seen it across multiple organizers - and over the years we've learned where it makes sense to step in, and where it doesn't. This isn't a chatbot or automation for its own sake. It's a person with industry knowledge making a concrete judgment call alongside you.

In our experience, it starts with a conversation, not a packaged offering. Because there's a real difference between a small volunteer-run association and a multi-event organizer, and a serious assessment has to account for that before we say yes.

For concrete pricing and delivery format: see the pricing page.

1. Support for organizer and exhibitors

Most organizers don't have a dedicated support team, and questions arrive in waves leading up to the day of the show. We've watched organizers spend more evening hours on this than they should.

We take support over phone, email, or video - whichever fits you. It isn't a call center; it's the same person who built your setup answering the phone.

2. Bulk-creating exhibitors from existing lists

If you already have an exhibitor list in your CRM or a spreadsheet, you don't have to retype it. We import the data and automatically link the exhibitors' user accounts to their profile when they sign up.

That removes one of the classic early speed bumps - the exhibitor logs in, sees their profile half-filled, and isn't staring at a blank page.

3. Ready-status before the show day

It isn't unusual for a portion of exhibitors not to have uploaded a logo or copy until a few days before the show. We've watched organizers spend an unreasonable amount of time chasing the last 20%.

We follow the status and can take on the exhibitors you find hardest to reach - typically with a phone call or a short note. That's specifically what we do, but it varies from show to show and depending on how far along the exhibitors already are.

4. Floor plans from technical drawings

A floor plan is rarely ready from the venue - it's a technical drawing that has to be translated into something visitors can navigate. We convert the drawing into an interactive map and mark every booth.

For multi-event setups the floor plan is inherited between events, so only changed booths need attention next time around.

5. A tailored overview

Every organizer has their own mental model for what should be at the top of the dashboard - ticket sales, ready-status, social media campaign, sponsor focus. We build the view to match your rhythm, not a generic template.

This is something we keep refining, not something fixed from the start. When there's a new thing you want to keep an eye on, we adjust the view.
